Applicant playbookHow to organise a doctoral student tenancy application in the UK
A doctoral student profile becomes easier to follow when enrolment, funding and paid work are treated as separate tracks with their own dates and sources.

Short answer
Create three rows for the applicant's current doctoral study, funding sources and any separate paid work. For each row, record the source document, confirmed start and end or review dates, payment period where shown, and current or pending status. Use a short note to explain how the tracks overlap. Do not turn an award period into guaranteed employment or assume that university accommodation history equals private rental history.

Practical example
Trace a mixed doctoral profile from note to source
Consider an applicant with a current enrolment record, a funding notice covering a stated period and occasional paid work shown on separate payment records. The three track table names each source and preserves its dates. The context note explains their overlap without calling the funding employment or projecting the occasional work into a stable monthly amount.
A later move from university accommodation appears only as a link to the transition worksheet, not as a second explanation inside this profile. If a reference contact is being considered, record who can be contacted and what the applicant has confirmed they may discuss. Do not imply that a supervisor, university office or accommodation provider will act as a referee without confirmation.
- Three sources traceable
- No relationship relabelled
- No funding forecast
- Transition routed separately
- Reference permission confirmed
Working checklist
Inventory records without merging their meanings
For the study track, record the course or programme wording, institution as displayed, current status and relevant confirmed dates. For each funding track, record the source name, document title, covered period, payment cadence only if stated and any review or end date. For paid work, capture the employer or payer, role wording and actual record period separately.
A record can support more than one navigation line, but the summary should not duplicate the file or reinterpret it. If a funding notice shows a limited period, preserve that boundary. If a future continuation has been discussed but not confirmed, place it in a pending field. If two sources conflict, stop and resolve the discrepancy instead of selecting the more convenient date.
- Source title
- Confirmed dates
- Covered period

Action plan
Explain overlaps in a scan friendly order
Open with the applicant's current doctoral status and the date of the source. Then list current funding by source and period. Add paid work only as a separate track, with its own payer and dates. Finally, state any relevant transition or unknown in one concise line. This order helps a reader locate records without assuming that study, funding and employment are interchangeable.
Use factual verbs such as enrolled, issued, paid or pending only when the source supports them. Avoid claiming that funding will continue beyond its recorded term, that an academic milestone has been completed before confirmation or that a work pattern is fixed. Route calculations and combined income questions to the income evidence owners rather than embedding an unsupported total in this profile.
- Current study first
- Funding sources second
- Paid work separate
- Transition last
- No unsupported total
Useful context
Separate the three doctoral profile tracks
Begin with the recipient's actual questions about current status, income, references and accommodation history. Put doctoral study, funding and paid work on separate lines. A single university label may appear across several records, but that does not mean every line describes the same relationship. Copy the wording shown on each applicant controlled source and keep its date meaning attached.
This page addresses the current doctoral profile. It does not own the later move from university accommodation, which has a separate chronology. It also does not prescribe a funding document list. When a request is broad, ask what period and format the recipient wants before choosing files or describing a scholarship, stipend, employment payment or other source.
- Study track
- Funding track
- Work track
- Recipient question
- Current or pending status
Keep in view
Protect academic, financial and third party information
Funding and university records can contain student numbers, research details, supervisor contacts, bank information or personal circumstances unrelated to a tenancy request. Match each field to the stated purpose. The ICO data minimisation source supplies the privacy boundary for this guide, but it does not establish a universal doctoral student evidence list.
Ask before altering a requested file, keep the original securely and use neutral filenames. Check that any referee knows what contact details are being shared. Confirm that study, funding and work dates still agree across the table, note and attachments. Once the applicant has checked the information, RentFiles can structure entered details into an application PDF before payment; it does not verify the sources or decide the outcome.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
- Student identifiers checked
- Research detail excluded
- Referee permission recorded
- Dates reconciled
- Original retained

Questions
Common questions
Clear answers for the decisions people usually pause on.
Why should study, funding and paid work be separate?
They may use different relationships, periods and source documents. Separate rows let the recipient trace each fact without treating an award, enrolment or job as the same thing.
What if doctoral funding has a stated end date?
Keep the recorded end date visible and place any possible continuation in a pending field until a current source confirms it. Do not project funding beyond its term.
Can I list my doctoral supervisor as a referee?
Only after confirming that the person agrees, which contact details may be shared and what they can accurately confirm. Do not infer consent from the academic relationship.
Does university accommodation count as private rental history?
Do not relabel it. Describe the accommodation source and dates exactly, then use the dedicated university accommodation transition guide for the handoff question.
Does RentFiles verify doctoral funding or enrolment?
No. RentFiles organises details entered by the applicant into a structured application PDF. It does not verify university records, funding or application outcomes.
