Relocation application planning
Complete field guideHow to prepare a UK relocation tenancy application pack
A relocation file is easiest to understand when current facts, arrival-dependent facts and unanswered requests are visibly separated.

Short answer
Start with the recipient's exact request, then build two tracks: material you can support now and material that can only exist after arrival or another future event. Add a short relocation summary, a dependency list and a question log. Do not fill gaps with estimates presented as facts, and do not assume that a remote application or an overseas reference is required simply because you are relocating.

Key points
Use RentFiles for the application handoff
After the plan is settled, enter the applicant's own details in the RentFiles builder and prepare a structured application PDF. The builder does not import this dependency map automatically, judge evidence, contact recipients or influence the recipient's decision. The application can be filled before payment.
Useful context
Build the pack around three states
Place each requested item in one of three states: available now, arrival-dependent, or unclear. This prevents a future plan from being presented as a completed event. Record the source date next to every available item and the trigger next to every future item.
A one-page relocation summary can name the intended move window, current location, planned work or study context, preferred contact channel and unresolved dependencies. It should summarise the applicant's own records, not predict acceptance or replace any form supplied by the recipient.
- available now: A fact or file that already exists and can be checked by the applicant before it is shared.
- arrival-dependent: An item whose existence or final value depends on travel, a UK address, a start date or another future event.
- open question: A recipient request whose meaning, format or timing still needs confirmation.
Action plan
Give the recipient a predictable reading order
A practical order is: relocation summary, response to the recipient's own form, identity or status material specifically requested, work or funding context, rental or address context, then a compact list of outstanding items. Keep translations, explanatory notes and the originals they describe adjacent.
Name files by purpose and date rather than by emotion or urgency. A stable order lets the recipient see what is present without searching through private material that was not requested.
Working checklist
Map what must happen before each missing item can exist
For each arrival-dependent row, write the prerequisite and the earliest honest update point. Examples include: employment start must occur before a first payslip exists; a local address cannot be confirmed before accommodation is agreed; and a requested in-person step needs a date and location from the recipient.
Use a question instead of a substitute when the request is ambiguous. A short message such as 'Will the offer letter be sufficient until the first payslip exists?' is clearer than uploading an unrelated financial file and hoping it answers the request.
Keep in view
Avoid four relocation file failures: Keep personal information tied to a stated purpose
Do not mix planned and completed dates in one unlabelled timeline. Do not attach every personal record merely because the move is complex. Do not present a translation as if it were the original. Do not make remote process assumptions on behalf of an agent or landlord; ask for the channel, deadline and format.
The ICO's data-minimisation principle supports limiting personal data to what is adequate, relevant and necessary for the purpose. In practice, confirm why a file is requested, remove unrelated pages where appropriate, and keep a private copy of what was sent and when. This is a privacy boundary, not a tenancy eligibility rule.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
Practical example
Example: a move that precedes the first payday
A fictional applicant plans to arrive in August and begin confirmed employment five days later. The offer document and start date are available; the first payslip is not. The pack labels the offer as current, the payslip as unavailable until an actual pay period, and the recipient's preferred interim evidence as an open question.
The same applicant has an overseas rental reference. Its issuer, rental period, language and contact route sit in a separate summary. The relocation page links to it as a related record; it does not treat that reference as proof of UK rental history.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Is a relocation application the same as a remote application?
No. Relocation describes the move and its dependencies; remote describes how steps are completed without being physically present. They may overlap, but either can exist without the other.
What should I write when a requested payslip cannot exist yet?
State the confirmed employment facts you can support, mark the payslip as future, and ask what interim material the recipient will accept. Never manufacture a substitute.
Should a translated overseas document replace the original?
Keep the original and translation linked and label who produced the translation. Ask the recipient whether a particular translation standard is required.
Does relocating mean I should send more documents?
Not automatically. Complexity calls for clearer organisation, not unlimited disclosure. Follow the actual request and the stated purpose.
What if the arrival or start date changes?
Update the relocation summary, mark the superseded date, and check which dependent rows are affected before preparing the application again.
