Inventory pages and visible fields

Open the original statement and record its source title, issue date, covered period, page count and file integrity. Give each page a row. Note which requested fact it may support and which identifiers, third party names, transaction descriptions or unrelated periods are visible.

Do not decide treatment from a thumbnail. Check the actual file and preserve page order. If a statement is incomplete, password protected or visually unclear, mark that state. Keep an unchanged original in the applicant's secure records and create a separate working copy only after the purpose is understood.

Compare the sharing copy with the manifest

Open the final copy from the sharing folder and compare its period, page order, visible fields and filename with the manifest. Confirm that no requested page disappeared, no value changed and every treatment decision has a source or recipient answer. Remove draft and duplicate versions.

Create a field treatment question log

For each potentially unrelated field, record whether it is needed, unclear or outside the request. Add the reason and who must answer. Treatment can include sharing as supplied, asking for a narrower source or asking whether a modified copy is acceptable. Do not prescribe deletion or masking without understanding the recipient's format.

Name the sharing copy neutrally and record its relationship to the original. If any page or field changes, document the change in the private manifest so the applicant can reconstruct it. Never alter balances, dates, transaction values or the meaning of the source.
