Dated savings source map
Document workspaceSavings evidence summary for a UK tenancy application
A concise savings summary helps only when every displayed value points to a dated source and no account is counted twice or treated as future income.

Short answer
Ask which savings information and period the recipient wants, then create one row per applicant-controlled account or source snapshot. Record the visible date, currency, account-owner label, balance as shown and the file that supports it. Keep transactions and full identifiers out unless specifically relevant. Do not project growth, combine overlapping sources or describe a historical balance as funds guaranteed to remain available.

- RentFiles helps organise the file; the agent or landlord decides the application outcome.
Working checklist
Inspect dated source snapshots
Open the original source and record statement date, period covered, currency, balance label and page count. Distinguish opening, closing, available or another source-defined figure instead of copying a number without its label. A screenshot that omits date or account context may not support the intended row.
Identify duplicate views of the same funds, such as a statement and an app screenshot from the same account. Choose the source that answers the confirmed request and keep the other outside the transfer set. Multiple formats do not create multiple pools of savings and should never be totalled as separate assets.

Working checklist
Reconcile before final handoff
Reopen every sharing file and compare its date, owner label, displayed balance and filename with the table. Check that no account appears twice, no currency disappeared and no calculation is presented as source text. Remove working spreadsheets and alternate screenshots from the transfer folder.
Stop if a value cannot be traced, a historical snapshot is described as current without recheck, ownership is unclear or future availability is promised. RentFiles can organise checked applicant entries into a PDF, but does not inspect accounts, calculate affordability, verify funds, submit evidence or decide the outcome.
- Value traced
- No double count
- Currency retained
- Ownership clear
- No availability promise
Action plan
Assemble a traceable summary table
Use columns for source label, owner display, snapshot date, displayed balance, currency and filename. If the recipient requests a total, show which rows are included and preserve original currencies unless an accepted conversion method is confirmed. Label any calculation as a calculation, not a source fact.
Explain a material movement only when it affects the stated request and the applicant can trace it. Keep the note factual, date-bound and separate from the source. Do not infer the origin of funds, forecast future deposits or describe a one-time balance as recurring income.

- Movement note
Useful context
Define the summary as navigation
Copy the recipient's savings question and requested period before opening financial files. The summary exists to point to source snapshots, not to replace them, assess affordability or argue that a balance should be accepted. Leave any unclear coverage or format requirement as a recipient question.
Give each account or savings source a neutral internal label that avoids full numbers. Record ownership exactly as the source shows and flag joint or third-party involvement for permission and relevance review. Do not imply sole ownership when the document displays something different or remains ambiguous.
- Recipient question
- Requested period
- Neutral account label
- Owner display
- Open format
Keep in view
Limit financial exposure
Review every visible page for unrelated transactions, full account numbers, third-party transfers and other details beyond the recipient's stated purpose. Ask whether the recipient accepts an appropriate narrower copy before altering a requested source. Preserve the original and record any agreed treatment beside the sharing version.
ICO minimisation wording is the only official authority bound to this page. It supports relevance, not an accepted balance, statement period or redaction method. This guide cannot set recipient financial criteria or validate savings; those query-specific decisions require the recipient or appropriately scoped authority.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
- Unrelated transaction
- Identifier exposure
- Third-party detail
- Treatment question
- Original preserved
Questions
Common questions
Clear answers for the decisions people usually pause on.
Should several savings balances be totalled?
Only when the recipient asks and the applicant can show included rows without double counting or silently converting currencies. Label the calculation clearly.
Must the summary include every account transaction?
No universal requirement is stated. Start with the recipient's purpose and avoid exposing unrelated transaction detail or third-party information.
Can an account screenshot support a savings row?
Describe what it visibly shows and what context is missing, then ask whether the recipient accepts that format. Do not invent dates or ownership.
Can expected deposits be included as current savings?
No. Keep future or pending amounts separate and do not describe funds as received or available before the source shows that state.
Does RentFiles verify savings or affordability?
No. RentFiles structures applicant-entered details into a PDF. It does not access accounts, verify funds, calculate affordability or decide outcomes.
