Household boundary reset
Situation playbookHow to organise a tenancy application after separation in the UK
After separation, the application should describe the applicant's current household and records without importing another person's private information into the file.

Short answer
Make four zones: the applicant's own current facts, genuinely joint records, another person's information, and unresolved questions. Build the new address and household timeline from the first zone, use a joint record only when it is relevant and appropriately handled, and keep the other person's private details out. Ask how the recipient wants former joint addresses or obligations described rather than guessing.

Handle joint files and missing context with consent
When the recipient asks for a fact that appears only on a joint record, identify the exact field and purpose. Consider whether another applicant controlled source can answer it. If a joint copy is still proposed, check whose information appears, what consent or treatment is needed and whether the recipient accepts a narrower option. Do not edit another person's details in a misleading way.
The ICO data minimisation source supplies the privacy boundary for this page. It supports keeping personal information tied to the recipient's stated purpose, not exposing another person's data to make the file look complete. Keep unresolved legal ownership, liability or consent questions outside the application until the applicant obtains appropriate guidance or confirmation.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
- Exact joint field
- Purpose stated
- Applicant controlled alternative
- Consent or treatment check
- Unresolved legal question stopped
Useful context
Reset the application around the current household
Start a fresh worksheet for the applicant instead of editing a former joint application. Copy the recipient's questions about current occupants, addresses, income, references and any jointly named record. State the applicant's current household plan only as far as it is confirmed. If another person may later join or leave, keep that change pending until the applicant has a reliable source.
This page does not ask for the history or reasons behind the separation. It is not legal, financial or relationship advice. Its narrow task is to separate whose information is whose, show which records remain joint and identify the questions that must be answered before an applicant controlled fact can be entered into a new tenancy application.
- Applicant current facts
- Joint records
- Other person's information
- Unresolved questions
- Current household status
Action plan
Use a four zone household information map
Place each proposed field or attachment into one of four zones. Zone one contains facts and records controlled by the applicant. Zone two contains joint records that may be relevant but require a purpose and handling decision. Zone three contains the other person's private information and stays out by default. Zone four contains uncertain ownership, consent or recipient format questions.
Build the address timeline from confirmed applicant facts. Use separate rows for the former joint address, any interim address and the new current or target address. Preserve actual move dates and status. Do not transfer another person's income, contact details, identifier or explanation into the applicant's file merely because it appeared on an earlier joint document.
- Four zone classification
- Former address row
- Interim address row
- Current or target row
- Ownership question
Working checklist
Stop at disputed, joint or unsupported information
Pause if household membership is not confirmed, a move date is disputed, a joint record is the only source, another person's permission is unclear or a form appears to require information the applicant does not control. Record the question and seek the appropriate answer. Do not solve a difficult field by copying information from a former shared file without a current purpose.
Before entering final details, check that every field belongs to the applicant or has a documented joint handling decision. Remove relationship narrative, unrelated financial detail and third party contact information. Reconcile address dates across the note and attachments. RentFiles can organise the checked entries into a structured application PDF before payment; it does not resolve disputes, give legal advice or decide the outcome.
- Household status unclear
- Move date disputed
- Joint only source
- Permission unclear
- Uncontrolled required field
Practical example
Write a neutral post separation context note
A short note can state that the applicant is applying for a new household, list the current confirmed occupants, provide the applicant's address chronology and point to their own current evidence. A former joint address can remain a factual history row. There is no need to describe the relationship, assign responsibility or include another person's current location unless the form legitimately requires and the applicant can provide it appropriately.
For example, a joint utility record supports the applicant's earlier address but also shows the other person's contact details. The worksheet marks the address fact as relevant, the third party fields as private and the treatment question as unresolved. The applicant asks whether another address source is acceptable rather than automatically attaching the full joint record.
- New household stated
- Current occupants confirmed
- Applicant timeline
- Former address factual
- Relationship detail omitted
Questions
Common questions
Clear answers for the decisions people usually pause on.
Do I need to explain why the separation happened?
Not for this worksheet. Answer the recipient's relevant current household and history questions with applicant controlled facts, and leave private relationship narrative out.
Can I attach a joint record from the former household?
First identify the exact fact it answers and whether another applicant controlled source works. Check the other person's data, consent and acceptable treatment before sharing.
How should I list a former joint address?
Use a factual address row with the applicant's actual occupancy dates and source. Do not add the other person's current details or a relationship explanation unless required and appropriate.
What if my future household membership is not confirmed?
Keep the proposed change in an unresolved or pending field. Do not present a possible occupant as confirmed until the applicant has reliable information.
Can RentFiles decide how a joint record should be handled?
No. RentFiles structures applicant entered details into an application PDF. It does not determine consent, resolve disputes, give legal advice or decide the application.
