Keep a dated pet conversation timeline

Record when the applicant asked, what the recipient answered, what follow-up was requested and which version of the pet card was supplied. Preserve the words of any condition or open question without interpreting them. A dated timeline reduces the risk that an earlier informal exchange is mistaken for the final application instruction.

If the recipient later asks for different information, create a new card version and show the change. Remove superseded sharing copies from the transfer folder. Do not rewrite the old entry to imply that the later answer existed at the start, and do not announce an agreement that the record does not contain.
