Contract and payment map
Applicant playbookHow to prepare a contractor tenancy application in the UK
Contractor is not a precise employment status, so the application should describe the records that actually exist.

Short answer
First identify how the applicant's own agreement describes the relationship; do not infer status from the word contractor. Summarise the counterparty, service or role, confirmed term, payer, payment basis, completed pay periods and any renewal question. Keep contract facts, invoices or payslips, and future expectations in separate rows.

Practical example
How this differs from freelancer and employment-contract pages
A freelancer file usually needs navigation across multiple clients and uneven periods. An employment-contract summary extracts terms from an employee record. This contractor page instead centres the ambiguous label, the specific counterparty, the stated contract type and the bounded term.
Working checklist
Capture the contract facts in separate fields: Keep three record lanes
List the counterparty, work or service description, start date, fixed or open-ended term as written, end date if present, notice wording, payer and payment basis. Add a source pointer for every field. Use 'not stated' where the agreement is silent.
Separate the signed agreement from later variations. If a renewal is under discussion, place it in an unknowns column and do not extend the confirmed term.
Lane one contains the agreement facts. Lane two contains completed payment records such as invoices, remittance records or payslips when requested. Lane three contains future or conditional events. This split prevents an invoice from being mistaken for a contract term or a proposed renewal from being treated as current work.
Action plan
Example: fixed term, separate payer and open renewal
A fictional contractor has a services agreement with one counterparty, payment administered by another organisation, a term ending in September and invoices for completed months. The renewal discussion has no signed variation.
The summary names both organisations, maps each completed payment record to its period, and labels renewal as unanswered. It makes no statement about whether the applicant is employed or self-employed.
Useful context
Do not use contractor as a status shortcut
GOV.UK explains that a contractor may be self-employed, a worker or an employee. Begin with the applicant's actual wording and record where it appears. If tax and employment records use different descriptions, note the difference without trying to resolve it inside a tenancy file.
This page is therefore a neutral map, not a legal status test. A status question should go to the appropriate official service or professional adviser.
- stated status: The wording used in the applicant's existing agreement or official record, copied without reinterpretation.
- counterparty: The organisation or person named on the contract or agreement.
- term boundary: The confirmed start, end, notice or renewal information actually shown in the source.
Keep in view
Boundaries for sensitive and uncertain material: Prepare the applicant's PDF after the term map
Do not disclose an entire client agreement if a narrower extract or summary answers the request and sharing is permitted. Do not expose client-confidential clauses without a clear purpose. Do not calculate future earnings or assert that a contract will be renewed.
RentFiles lets the applicant enter information and prepare a structured application PDF, with filling available before payment. It does not classify employment status, read contracts, validate income, forecast renewals or guarantee a tenancy result.

GOV.UK describes employment contracts as agreements covering employment conditions, rights, responsibilities and duties.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Does contractor mean self-employed?
Not necessarily. Use the wording in the applicant's records and seek appropriate guidance if status needs to be determined.
What if my contract ends soon?
State the confirmed end date and keep any renewal conversation in a separate unanswered field until a new record exists.
Why record the payer separately from the counterparty?
They may be different organisations. Separating them helps a recipient understand why names differ across agreements and payment records.
Should I send the whole commercial contract?
Follow the exact request and any sharing restrictions. A purpose-limited summary or selected material may be more appropriate, but the recipient decides what it requires.
Does an invoice prove a future payment?
No. It records a billed amount and period; it should not be presented as a guarantee of payment or continuing work.
