Source-to-summary table
Document workspaceHow to create an employment contract summary for a UK tenancy application
A useful contract summary extracts what the document says and makes missing or conditional terms visible.

Short answer
Use a field-by-field summary tied to the source: employer, applicant role, accepted or stated start date, fixed or ongoing term, pay amount and frequency as written, hours or pattern if present, probation wording if relevant, and the document date or version. Write 'not stated' for missing fields. Do not interpret clauses, convert gross to net, or treat the summary as a replacement for the requested original.

Working checklist
Keep dates in their original roles
Do not substitute the document date for the employment start date. Do not treat an anticipated start as completed employment. If an amendment changes a term, identify the newer source and retain the earlier version outside the outgoing folder unless the recipient asks for it.
Action plan
Copy pay terms without performing a conversion: Example: a fixed-term role with one missing field
Record the amount, unit and frequency exactly as written, plus whether the term is conditional or variable. Do not derive annual, monthly or net figures unless the source already states them and the recipient requested them. Keep bonuses, commission or allowances separate from base wording.
A fictional contract states a role, employer, start date, annual gross salary, fixed end date and weekly hours. It does not state the first payday. The summary points to each clause and marks first payday as not stated.
A later email mentions a possible extension. Because it is not a contract variation, the summary leaves the fixed end date unchanged and places the email outside the contract field set.
Key points
Enter confirmed applicant details in RentFiles
RentFiles can turn applicant-entered details into a structured application PDF, and the form can be filled before payment. It does not read the contract, extract fields automatically, provide legal advice, verify employment or guarantee a decision.
Useful context
Extract a compact field set
Start with document title and date, employer, role, start date, term, location if stated, pay wording, pay frequency, normal hours or pattern, probation wording, notice wording and signatures or acceptance state when relevant to the request. Point each field to a page, clause or heading.
GOV.UK describes employment contracts as agreements covering employment conditions, rights, responsibilities and duties. The tenancy summary should remain narrower: it helps locate selected work facts and does not explain the applicant's legal rights.
- source field: A fact copied from a named section, page or clause of the applicant's chosen document.
- conditional term: Wording whose effect depends on an event, approval, date or other condition stated in the source.
- not stated: A deliberate marker that the selected document does not provide the requested field.
Keep in view
Run a source-to-summary check: Know when a summary is not enough
Read each summary field back against the original. Confirm that qualifiers such as 'subject to', 'up to', 'estimated' or 'after successful completion' have not disappeared. Remove any field copied from memory rather than a source.
The recipient may require the original or a different record, and only that recipient can confirm its request. This guide does not interpret contractual enforceability, employment status, tax treatment, income sufficiency or authenticity.

Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
Questions
Common questions
Clear answers for the decisions people usually pause on.
Can the summary replace my employment contract?
Only the recipient can say what it requires. Treat the summary as a navigation aid, not an automatic substitute for the original.
What if the contract does not state a requested field?
Write 'not stated' and ask whether another source is acceptable. Do not infer the answer.
Should I convert gross salary to net pay?
No. Preserve the amount and basis shown in the source unless a separate, clearly sourced figure is requested.
How do I handle an amended contract?
Use the current signed or accepted source where known, point to the changed fields and prevent an older version from being sent accidentally.
Is a services agreement an employment contract?
Not automatically. GOV.UK distinguishes an employment contract from a contract to provide services. Use the contractor map when the source is not an employment contract.
