Household roles and dependant boundaries
Applicant playbookHow to organise a family tenancy application in the UK
A family application describes a household without treating every household member as an applicant or collecting the same information about everyone.

Short answer
Start with a household role map: adult applicant, proposed occupier, dependant, guarantor or another role stated by the recipient. Record which people complete applicant sections, which shared facts need confirmation and which dependant details are actually requested. Keep evidence under its owner, use age-appropriate and purpose-limited context, and ask before collecting sensitive information about a non-applicant.

Practical example
Example of applicants, occupiers and a separate guarantor
A fictional household has two adult applicants, one dependant occupier and a proposed guarantor. The adults each own their work and history evidence. The shared lane records the proposed tenancy. The dependant appears only in the requested household field, and the guarantor follows a separate information route. The application does not duplicate private documents under a family heading.
Working checklist
Keep evidence attached to the correct adult owner
Create a separate requested-evidence inventory for each adult applicant. Use a shared register for property and household facts confirmed by the relevant adults. Dependant information belongs only in fields the process actually requires; it should not be copied into income, employment or reference sections merely because the household is applying together.
If a guarantor participates, maintain a separate consent and handoff map. A guarantor may be related to the household but remains another information owner. Their records should not be stored as general family evidence or reused across applications without a new stated purpose.
Action plan
Present the household from roles to shared logistics
A clear order is adult applicant lanes, shared proposed tenancy facts, requested occupier or dependant context, then open questions. Keep explanations factual and brief. Accessibility or scheduling information can be supplied when relevant to the process, but personal health or family detail should not be added simply to make the household story feel complete.
Useful context
Map roles before mapping documents
Copy the recipient's role labels and place each household member in the appropriate category without assuming that occupancy and applicant status are identical. Record who is expected to sign, who supplies financial information, who is only described for household context and which role remains unclear. Ask the recipient to resolve ambiguity before private records are collected.
- Person represented by a neutral label
- Role stated by the recipient
- Required information purpose
- Owner, consent and open question
Keep in view
Review purpose, permission and version ownership
Have each adult applicant confirm their lane and the shared household facts. Check that every non-applicant detail has a stated purpose and that a responsible person controls updates. Remove duplicate or unrequested records, preserve questions about roles and avoid presenting the household structure as evidence of acceptance or eligibility.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
RentFiles helps organise applicant-entered information into a structured application PDF. It does not decide household roles, collect dependant records, contact guarantors or influence the recipient's decision.

Questions
Common questions
Clear answers for the decisions people usually pause on.
Is every family member an applicant?
Not necessarily. Use the roles and fields defined by the recipient, and ask when the distinction between applicant and proposed occupier is unclear.
What information should be included about dependants?
Only information requested for a stated tenancy purpose. Avoid adding sensitive personal detail merely to provide a fuller family description.
Should adult applicants share one evidence folder?
They can use one controlled handoff, but every record should retain its owner, period and purpose so one person's evidence is not attributed to another.
Does a relative acting as guarantor stay inside the family section?
No. The relationship may be noted when relevant, but participation, consent and records belong in a separate guarantor process.
When is the couple application guide more useful?
Use it when the coordination problem is exactly two applicants and shared facts. Use this family guide when wider household roles or dependant boundaries must be mapped.
