Lodger moving to a tenancy in the UK

Moving from a lodging arrangement calls for accurate dates and source limits, not an attempt to rename the past so that it looks like a different type of history.

Short answer

List the lodging period using the description the applicant can support, then record the address label, dates, payment trail and any contact who has agreed to respond. State what each source shows and what it does not. Ask the recipient how they want that history presented, especially when no formal reference exists. Keep the new tenancy application separate from unsupported legal labels or assumptions about equivalent evidence.

Turn this guide into a clear application pack

Enter and check details before payment, then choose whether to pay for a structured application PDF. RentFiles does not assess evidence, submit the application or decide the outcome.

  • Prepare a structured rental application PDF with RentFiles.
  • Fill your application before you choose whether to pay for a PDF export.
  • RentFiles helps organise the file; the agent or landlord decides the application outcome.

Practical example

Review the profile as a recipient would

A reader should be able to distinguish accommodation history, a contact route and the applicant's current answers. Check that dates agree across the note and selected sources. Remove conversation fragments that reveal unrelated details about the household or third parties, even when those messages also contain a useful date.

The ICO wording is the sole official authority bound to this page. It supports limiting personal information to the recipient's stated purpose, but it does not tell an agent or landlord which history source to accept. Where the request is unclear, preserve that authority gap and ask instead of inventing a UK rule.

Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.

  • History separated
  • Contact separated
  • Dates agree
  • Third party detail removed
  • Authority gap visible

Working checklist

Inventory what the lodging sources can show

List applicant controlled sources by purpose: a dated payment trail may show transfers, a message may show an agreed move date, and correspondence may link the applicant to an address. Record the visible period and limitation beside each one. None should be renamed as a formal reference when it was created for another purpose.

If another person could answer a recipient question, ask that person before sharing their contact details or describing them as available. Note what they agreed to confirm and through which route. A personal relationship does not give the applicant permission to disclose the person's private information or promise their participation.

  • Source purpose
  • Visible period
  • Source limitation
  • Contact permission
  • Agreed route

Action plan

Order the transition note around dates

Begin with the prior accommodation period, use the supported neutral label, and identify the source that anchors its dates. Then state the present move context and the specific question that remains for the recipient. Keep any personal reason for the arrangement out unless it is relevant and the applicant deliberately chooses to include it.

When there is no formal reference, say so directly and point to the alternatives the applicant actually controls. Ask which, if any, the recipient accepts. Do not write a testimonial on another person's behalf, convert payment messages into a character reference or imply that an unavailable document exists elsewhere.

  1. Prior period
  2. Neutral label
  3. Date source
  4. Current transition
  5. Alternative question

Useful context

Identify the history gap without relabelling it

Write the accommodation description the applicant actually used and the dates they can check. Avoid changing lodger, family arrangement or another informal description into a tenancy label simply to make the history appear conventional. If the exact start or end date is uncertain, record the known range and the source of that uncertainty.

Copy the recipient's history or reference question into a separate row. The task is to connect a real past arrangement to a current question, not to decide the legal status of that arrangement. Any classification question belongs with an appropriate authority or adviser and falls outside this evidence limited profile.

  • Applicant description
  • Known date range
  • Address label
  • Recipient question
  • Classification boundary

Keep in view

Control the final move record

Confirm that each selected file has a purpose and that any contact has agreed to the proposed use. Use filenames that identify the period and function without exposing unnecessary private values. Keep the applicant's own explanatory note distinct from source documents so a recipient can see which statements are first person context.

Stop if the arrangement is being legally classified without authority, a date is guessed, a person has not agreed to be contacted or an unrelated message is included for convenience. After correction, RentFiles can organise the applicant's checked entries into a PDF, but cannot verify the history or recipient acceptance.

  • Purpose recorded
  • Contact agreed
  • Neutral filename
  • First person note
  • No acceptance claim

Questions

Common questions

Clear answers for the decisions people usually pause on.

What if a former lodger has no formal reference?

State that accurately, list the applicant controlled alternatives and ask the recipient what they accept. Do not manufacture a reference or promise another person's response.

Should I call the old lodging arrangement a tenancy?

Use the description supported by the applicant's records. This guide does not classify the arrangement or recommend changing its label for the application.

Can I share the former household contact automatically?

No. Ask the person whether they agree to the intended recipient, purpose and contact route before placing their details in the application.

May messages support dates in the accommodation history?

They may show particular facts, but select only relevant extracts or accepted alternatives and protect unrelated third party conversation. Describe the source limitation clearly.

Does RentFiles verify a lodger's accommodation history?

No. RentFiles structures applicant entered details into a PDF. It does not authenticate messages, contact former households or decide the application outcome.
