Visible date and version check
Document workspaceTenancy application document expiry checklist for the UK
A date checklist can tell the applicant what a file displays and what needs a question, but it cannot decide legal validity or recipient acceptance.

Short answer
Inventory each requested file and record every visible date with a label such as issue, expiry, statement period, generation date or unknown. Check that the selected copy is readable and matches the applicant's current source. Mark expired, undated or ambiguous items for recipient clarification instead of replacing dates or assuming an age limit. Keep the answer with the manifest and rerun the check immediately before sharing.

Working checklist
Inspect the actual source material
Open the original applicant controlled file and look at every relevant page, including a reverse side or continuation page when present. Record the date label exactly enough to distinguish expiry from issue or statement coverage. Check the visible name and document version without copying full identifiers into the manifest.
Compare the source with the intended sharing copy. A conversion, crop or scan can remove the page containing a date or create an unreadable edge. Preserve the unchanged source and note how the sharing copy was produced. If a treatment is needed, ask whether the recipient accepts it before modifying a requested source.

Working checklist
Run the final expiry and version check
Reopen every final attachment near the handoff and compare it with the manifest. Confirm the intended pages, date labels, version and recipient answer for any flagged item. Remove obsolete scans and drafts so the transfer folder contains one deliberate sharing copy for each requested purpose.
Stop if a date is unreadable, altered, guessed or described as acceptable without an answer. Do not edit an expiry date or hide an expired status. RentFiles can place the applicant's checked entries into a structured PDF, but does not inspect original files, validate their dates or decide whether they meet the request.

- Date rechecked
- Question answered
- Draft removed
- No validity claim
Action plan
Assemble a date status manifest
Give each attachment one row with purpose, filename, version, visible dates and status. Use current source matched, expired date visible, undated, ambiguous or question answered. These are workflow statuses only. Current source matched must never be presented as a legal or recipient validity judgment.
For a period document, record the first and last date it actually covers rather than treating the download day as its period. For an expiry document, copy the displayed expiry date without extending it. For an undated source, state that limitation and route the issue to the recipient when currency matters.

Useful context
Define the date checker's narrow job
Start with the recipient's requested category and the applicant controlled file proposed to answer it. The checklist records what dates are visible and whether the selected version matches the source. It does not certify authenticity, legal validity, currency for every purpose or acceptance by a particular agent or landlord.
Create distinct fields for issue date, expiry date, period covered, download or generation date and last applicant check. Leave a field blank or unknown when the document does not display it. Do not infer an expiry from a filename, file creation property or a general expectation about document age.
- Requested category
- Issue date
- Expiry date
- Covered period
- Last checked
Keep in view
Protect personal details during the date review
A date check rarely requires copying account numbers, identity numbers, health details or unrelated transactions into the manifest. Record a neutral file label and the necessary date field only. Store the checklist in the applicant's controlled workspace and restrict any shared version to what the recipient actually needs.
ICO data minimisation wording is the authority for this privacy boundary, not for any expiry period. It does not tell the applicant how old a record may be or which alternative a recipient accepts. Those unanswered points stay as questions because no query-specific official authority is supplied here.
Keep personal information relevant to the recipient's stated purpose and avoid adding sensitive material that was not requested.
- Neutral label
- Necessary date only
- Sensitive value excluded
- Controlled workspace
- No expiry rule inferred
Questions
Common questions
Clear answers for the decisions people usually pause on.
How old can a UK tenancy application document be?
This page states no universal age limit. Check the recipient's current instructions and ask how they treat the specific document and covered period.
Should an expired document be hidden or edited?
No. Record the displayed status accurately and ask which current alternative or explanation the recipient accepts. Never alter or conceal the date.
What if a requested document has no visible date?
Mark it undated, describe what it does show and ask whether the recipient accepts it or wants another applicant controlled source.
Is a file download date the document date?
Not necessarily. Record the date according to its visible label and keep generation, download, issue, expiry and covered period fields distinct.
Does RentFiles validate document expiry dates?
No. RentFiles organises details the applicant enters into a PDF. It does not inspect files, certify validity or decide recipient acceptance.
