Create a separate lane for genuinely shared facts such as the target property and agreed move information. Do not treat convenience as permission to merge all records.

Build the field ownership matrix
Copy each requested field into a matrix and mark individual, shared or recipient supplied. Name the person who checks an individual answer and the group members who confirm a shared answer. Keep a status column so a partially completed group response cannot look final merely because one applicant finished their section.
For attachments, record owner, purpose, intended recipient and selected version. A shared folder may hold transfer copies after review, but original private records remain in their owner's workspace. Avoid placing full identifier numbers or financial values in the coordination sheet where every participant can see them unnecessarily.

Resolve differences without editing for someone else
When shared dates, address labels or property details differ, place both entries in a difference ledger and return the question to the people who own it. Do not choose the most convenient answer. Record the resolved wording only after the relevant applicants have confirmed the same value.
If one person's requested record is unavailable, keep the issue in that person's lane and ask which alternative the recipient accepts. Do not substitute another applicant's private document or write a composite statement that obscures whose circumstances it describes. Joint presentation must preserve individual source boundaries.

Practical example
Run a two-stage review timeline
Stage one is individual review: each applicant checks their answers, selected files and permissions. Stage two is shared review: everyone checks the property facts, group declarations and transfer manifest. Record completion without copying the sensitive answers into the status log. A missing individual check keeps the group pack unfinished.
Immediately before handoff, reopen the current recipient instructions and verify that the chosen route still matches. Each person should know which of their files will leave their control. The shared review does not authorise one applicant to modify another's record after approval; any change returns to the individual lane.
